Billing tips for personal trainers

Invoice packages before the first session

Payment up front means commitment up front. Clients who've paid for ten sessions are far more likely to show up for all ten.

Put an expiry date on packages

Unused sessions can hang over you for months. A validity period on the invoice — say 12 weeks — keeps schedules moving and avoids awkward conversations.

Charge for travel to clients

Training clients at home or in a park means time on the road. Add a travel line, or build it into a higher in-home rate and say so on the invoice.

Invoicing questions from personal trainers

What should a personal training invoice include?

A personal training invoice should include your business name and contact details, the client's name, the sessions or package being billed, the price and any discount, how long the package is valid, your cancellation policy, the total, a due date, and how to pay.

Should personal trainers invoice before or after sessions?

For packages, invoice before the first session so the client is committed. For pay-as-you-go clients, many trainers invoice weekly or monthly for the sessions attended.

Can I give a discount on a training package?

Yes. Add a discount to the invoice so the client can see the saving next to the full price — a good way to reward renewals and referrals.

Does Invoiceflint work for online coaching?

Yes. Bill programs, monthly coaching, or check-ins the same way as in-person sessions, and send the invoice to clients anywhere by email or WhatsApp.
