What to include on a contractor invoice
A complete invoice gets approved and paid faster. Invoiceflint fills in the numbering, dates, and totals for you — here’s what else belongs on it.
- 1Project name and job address, plus a reference to the signed estimate or contract.
- 2Which stage or milestone this invoice covers — 'progress invoice 2 of 3'.
- 3Work completed in this period, with labor and materials separated.
- 4Each approved change order as its own line, numbered.
- 5Deposits and earlier payments received, subtracted from the total.
- 6Retainage, if your contract holds some back until completion.
- 7Payment terms and the balance due.
How Invoiceflint helps contractors
Built for invoicing on the job, not at a desk.
Estimates that become invoices
Send detailed estimates, let clients accept them online, and convert them to invoices with one tap — line items and totals carry over.
Signatures and progress photos
Attach photos of completed work to each progress invoice and add a signature, so the client sees what they're paying for.
Every invoice's status at a glance
See which progress invoices are sent, viewed, paid, or overdue, and each client's running balance.
Run more than one company
Run a remodeling business and a handyman brand? Keep each one's details, logo, and currency separate and switch between them.
Billing tips for contractors
Bill in stages, not at the end
Waiting until a three-month remodel is finished to invoice means financing the whole job yourself. Agree on milestones in your estimate — deposit, rough-in, completion — and invoice the day each one is reached.
Put every change order in writing
'While you're here, can you move the sink?' is how margins disappear. Send a quick estimate for the change, get it accepted, and add it to the next invoice as a numbered change order.
Show the deposit on the final invoice
List the full value of the work, then subtract each payment already received. The client sees exactly how the balance was reached, which prevents 'didn't I already pay for that?' disputes.
Invoicing questions from contractors
How do contractors invoice for a large project?
Most contractors use progress billing: a deposit before work starts, invoices at agreed milestones, and a final invoice on completion. Each invoice references the original estimate or contract and subtracts payments already received.
How should I bill a change order?
Get the change approved before doing the work — a short estimate the client accepts is enough — then add it to the next invoice as its own numbered line, such as 'Change order #1 – relocate sink plumbing'.
Should the deposit appear on the final invoice?
Yes. List the full value of the work, then subtract the deposit and any progress payments as separate lines that reference their invoice numbers. The remaining amount is the balance due.
Is Invoiceflint construction accounting software?
No. Invoiceflint is an invoicing and estimating app built for small contractors and remodelers. It doesn't do job costing, payroll, or bookkeeping, but Invoiceflint Pro can export reports as CSV or PDF for your accountant.
