Invoice & estimate app for tutors

The invoice app for tutors

Tutors usually bill parents, often for a month of sessions at a time. Invoiceflint lets you list each session or package, send the invoice by email or WhatsApp, and see when it's been opened — so you don't have to bring up payment at the end of a lesson.

How Invoiceflint helps tutors

Built for invoicing on the job, not at a desk.

  • Send where parents actually look

Open WhatsApp with the invoice link ready to send, or email it — parents view it in their browser without installing anything.

  • Know it's been seen

Get a notification when the parent opens the invoice, so you know whether a gentle reminder is needed.

  • Every family in one list

Keep each family with their balance, and save your session and package prices so a monthly invoice takes moments.

  • Reminders you don't have to send

Scheduled email reminders follow up on unpaid invoices, so payment doesn't come up during lessons.

Billing tips for tutors

Invoice once a month

An invoice after every lesson means a lot of admin for you and the parent. One monthly invoice that lists every session is easier to pay and to check.

Put your cancellation policy in writing

A 24-hour cancellation policy only works if parents have agreed to it. Put it in your first invoice's notes, then charge it consistently.

Offer packages paid up front

A package of ten sessions paid in advance improves attendance and smooths your income. Invoice the package once and note how many sessions are left.

Invoicing questions from tutors

What should a tutoring invoice include?

A tutoring invoice should include your name and contact details, the parent or guardian's name, the student's name, the dates and length of each session (or the package), the subject, your rate, any cancellation charges, the total, a due date, and how to pay.

Should I invoice the parent or the student?

Invoice whoever pays — usually the parent or guardian. Put the student's name in the client name or line descriptions so families with more than one child can tell invoices apart.

Should tutors charge for late cancellations?

Many tutors charge 50% to 100% of the session fee for cancellations with less than 24 hours' notice, because the slot can't be filled at short notice. Agree on the policy in writing before the first session and show the charge as its own line.

Do tutors need to charge sales tax or VAT?

It depends on where you live and how much you earn. Private tutoring is exempt from VAT in some countries, and many places don't apply sales tax to tutoring. Check your local rules — Invoiceflint lets you add tax only when you need it.
