Billing tips for photographers

Take a retainer to hold the date

A wedding date you've reserved is a date you can't sell to anyone else. A non-refundable retainer, invoiced at booking, protects you if plans change.

Collect the balance before the shoot

Set the balance due date a few weeks before the event. Chasing a final payment after the gallery is delivered is much harder.

Spell out licensing for commercial clients

Brands pay for usage, not just photos. State on the invoice how and for how long the images may be used, so expanded use becomes a new line item rather than a dispute.

Invoicing questions from photographers

What should a photography invoice include?

A photography invoice should include the session or event date, the package or coverage hours, deliverables such as edited images, galleries, and albums, any retainer already paid, the balance and its due date, usage or licensing terms for commercial work, and payment details.

How much retainer should a photographer charge?

Many wedding and event photographers take a retainer of 25–50% to book the date, with the balance due before the event. Whatever you choose, state on the invoice whether the retainer is refundable.

Should usage rights be on a photography invoice?

For commercial work, yes. Describe how the client may use the images and for how long. Usage beyond that can then be quoted as a separate license fee.

Can I send professional photography invoices from my phone?

Yes. Invoiceflint lets you create branded invoices and estimates on your phone and send them by email, WhatsApp, or link. Invoiceflint Pro adds 14 templates and automatic payment reminders.
